The Import-Export Coordinator is responsible for managing the efficient and smooth operation of warehouse and logistics activities related to the import and export of goods. This role involves preparing necessary documentation, coordinating transportation.
Responsibilities:
1. Warehouse:
- Prepare needed documents for cargo inbound.
- Receive and process warehouse stock (pick up, unload, label, store...) of raw materials/expendables.
- Ensure inbound cargo is in good condition.
- Perform inventory controls and stock take, including making daily stock reports.
- Manage warehouse space.
- Manage contractors.
- Cooperate with other departments to ensure smooth warehouse operation (inbound/outbound activities, usage of shared warehouse space...)
- Manage warehouse equipment/vehicles and on-time report to supervisor and related departments in case problem occurs.
2. Logistics:
- Prepare and review shipping documents, including Invoice, Packing List, Contract, Bill of Lading, CO, Phytosanitary certification, Fumigation documents...
- Coordinate the transportation of goods, including booking cargo space and arranging for customs clearance.
- Communicate with freight forwarders, customs brokers, shippers and other transportation providers to ensure that shipments are delivered on time, and a timely report if there is any delay.
- Maintain records of all import and export transactions, including tracking shipments and preparing reports on shipping costs and delivery times.
- Ensure compliance with import/export regulations
- Resolve any issues that arise during the import/export process, such as customs delays or shipment errors.
- Collect/arrange/manage storage of documents.
- On-time report to supervisor and related departments in case problem occurs.
