Secretary staff is responsible for assisting the President in coordinating various schedules with customers and government officials, preparing documents, and gathering information for meetings. Details job as follows:
1. Managing and coordinating the president's schedule:
- Manage and coordinate various schedules, such as internal and external meetings, domestic and international visitors, business trips, etc., scheduling them while taking into consideration travel and break times.
- Even when schedules overlap or change on short notice, communicate immediately with the president in Japanese to ensure smooth schedule management.
2. Document Preparation and Translation:
- Prepare business correspondence, e-mail replies, thank you letters, meeting materials, etc. on behalf of supervisors; must be proficient in the use of Word and other Office software.
- Translate Vietnamese documents into Japanese and Japanese documents into Vietnamese. Must be polite, courteous and have a good command of accurate Japanese.
3. Document Management:
- Manage necessary documents so that they can be presented immediately when asked for business cards, meeting materials, etc.
4. Others:
- Sharing the economic and political situation in Vietnam with the president, working as a translator for the president, support the company's corporate social responsibility activities (may accompany the president in and out of the country), smooth reservation of airline tickets and restaurants for dinners, etc.
