Support general affairs and administration tasks at the Hanoi Office to ensure smooth operation of office management and internal coordination.
* Responsibilities:
1. Translation and documentation management
- Translate documents (Japanese – English – Vietnamese)
- Maintain company records and handle internal administrative procedures.
2. Office operation support
- Arrange company cars, hotels, and business trips.
- Manage office supplies, drinking water, office assets, and handle related issues.
- Manage and troubleshoot photocopiers.
- Ensure office doors are properly opened/closed according to company rules.
3. Reception and internal communication
- Welcome visitors and answer phone calls.
- Distribute incoming parcels and company bulletins.
- Support organization of internal company events.
4. Coordination with building management and suppliers
- Liaise with Building Management for notices and issue resolution.
- Register fingerprints/facial recognition for attendance system.
- Register monthly parking cards and create employee ID cards.
- Draft/manage contracts with suppliers, monitor execution and acceptance.
- Collect VAT invoices and prepare payment requests.
5. Other general affairs tasks as assigned by management
