* Administration
- Answer and direct incoming calls, emails, and other correspondence.
- Greet visitors and clients professionally.
- Monitor office supplies and place orders as needed, troubleshoot issues of office equipment as they arise.
- Schedule and coordinate appointments, meetings, company events, and travel arrangements for office staff.
- Communicate and coordinate with internal and external stakeholders such as Tokyo headquarter, the building management, local authorities, vendors, etc. as assigned.
* HR
- Support in the recruiting process and arrange interviews.
- Prepare and submit Work permit and Visa for foreigners.
- Maintain and manage employee attendance records and other HR-related documents.
* Accounting
- Manage accounting documents including contracts, invoices, claim forms.
* Others
- Assist with posting information on the company’s marketing channels such as LinkedIn and website (occasionally).
- Translate written materials between Japanese, English and Vietnamese as needed.
