The HR/Admin Specialist plays a crucial role in supporting the human resources and administrative functions of the organization. This position is responsible for ensuring smooth onboarding processes, managing HR documentation, and maintaining efficient office operations.
Responsibilities:
1. Human Resources Responsibilities
- Prepare onboarding materials, including welcome kits and work tools for new hires.
- Conduct onboarding sessions and ensure new employees understand company policies.
- Assist with recruitment efforts, including job postings and candidate coordination.
- Manage labor-related documentation, including expatriate work permits and residence cards.
- Maintain and monitor attendance, overtime, and leave records for payroll.
2. Administrative Responsibilities
- Manage office supplies and equipment, ensuring timely procurement and cost efficiency.
- Oversee the company's facilities and ensure proper functionality.
- Coordinate with service providers for maintenance, office events, and
related services.
- Handle document management, including incoming/outgoing documentation and notarizations.
- Arrange business travel logistics, such as flights and accommodations.
- Compare security camera footage with attendance data to identify discrepancies and review footage in case of issues.
- Provide necessary licenses to external parties and manage related administrative tasks.
- Serve as the primary point of contact for visitors and incoming calls.
