Mô tả công việc

• Overall management and support of facilities, documents, stationeries for Departments
• Duties relating to Board of Directors’ meetings
• Preparing the notice and sending to employees on behalf of General Director
• Preparing periodical report and submitting to related organizations, if need
• Coordinate and maintain company’s documents, office properties & the company seal
+ Regulations, documents, and company seal
+ Regulation management
+ Important company legal document management, proceed the change/ update as required
+ Supplier’s contract, customer service contract management, updating as saving on company server
+ Issue and management of in-house announcements
+ Issue of in-house newsletters
• Legal Procedures: Consult with consultant vendor for legal procedures such as registration, business certificate, public notices, visa, etc.
+ Overall management of facilities, equipment, fixtures, ancillary items, etc.
+ Purchase of fixtures, ancillary items, office consumables and retail goods together with procurement, custody and delivery of in-house ledger, slips
• In charge of kinds of insurance related to the company’s leasing assets and EXPAT’s employees
• In charge of annual leave to company employees by smartsheet and workpaper
• In charge of Vietnamese employees for business travel as car, hotel, air ticket, etc
• Work with IT vendor for IT matters,
• Coordinate with Branches/ business units in arranging benefits for the employees, including Health Checkup, health care, team building/ company trip, …
• Manage documents regarding legal procedures for EXPATs
• To be responsible for obtaining of Work Permit, Visa, Temporary Resident Card for employees, visitors, and trainees as assigned
• Archive and manage documents regarding company transactions (contract, annex, POA,)

• General Affairs
✓ General affairs of the Board of directors
✓ Planning and management of meetings
✓ Operation and management of the Head Office vehicles
✓ Overall management of the Head Office building (facilities, equipment, security, accident prevention, etc.)
• In charge of all reports related to department functions

Yêu cầu công việc

• Bachelor’s degree of Business Administration, Human Resources, Administration
• English skill in communicating by speaking, writing, listening, and reading
• At least 5-year experience in the same position

• Effective communication
• Ability to effectively prioritize and execute tasks
• Extensive experience working in a team-oriented, collaborative environment
