The Assistant to the General Manager/General Director will provide high-level administrative support to ensure the efficient operation of the GM/GD's office. This role involves managing schedules, travel arrangements, office systems, and communications, as well as assisting with research, document preparation, and interdepartmental coordination.
Responsibilities:
- Managing GD/ GM’ s schedule, assessing priority of appointments and reallocation as necessary.
- Managing GD/ GM’s travel arrangements (including visas/ accommodation/ transportation/ect.); preparing for the necessary internal/ external documents for GD/ GM’s business trips
- Maintaining GD’s office systems, including data management and filing.
- Assisting GD/ GM in researching and following up with action on matters which fall within the Director’s responsibility – chasing responses, triggering follow-up action.
- Producing documents, briefing papers, reports and presentations for the GD/ GM if requested.
- Cooperating with all departments for documents preparation.
- Managing the company stamp and take responsibility in using it legally.
- Responsible for communicating between GD / GM and other departments.
- Be responsible for expense and cost under GD office cost center.
- Process and manage GD and GM reimbursement with internal system
- Check and review daily e-banking applications before GD’s approval
- Support on greeting VIP guests visit and guests’ business trip.
- Any other duties may reasonably be required by the GD/GM.
