Primary Job Functions Weight 70%
1) Carries Out Administrative Tasks
by sorting incoming/outgoing mail and faxes and distributing to the correct individuals; by maintaining periodicals and newspapers; by maintaining office, drink, and kitchen supplies and office equipment; by making arrangements to have office equipment repaired as necessary; by maintaining paper levels in the fax machine and copier; by arranging travel accommodations and making reservations for Staff and guests; by typing correspondence and transcribing as necessary; by making copies or arranging for copies to be made as necessary; by proofreading documents as necessary; and by performing other administrative tasks as necessary.
2) Carries Out Financing Activities
by preparing and documenting cash payments and transfers; by monitoring and reporting daily cash receipts and payments; by reconciling and reporting bank accounts at the end of each month and year; and by arranging for daily cash investments.
3) Performs Receptionist Duties
by receiving and welcoming visitors and directing them to the correct parties in a friendly and polite manner; by informing the appropriate Staff of visitors; by serving refreshments to guests as needed; by cleaning and maintaining coffee maker and cups; by answering the phone, routing phone calls to the correct individuals, and taking messages as necessary; and by maintaining a clean reception area.
4) Performs Secretary Duties
by assisting the representative with various functions as requested; by maintaining schedules of the representative and marketing assistants; and by creating documents as necessary.
5) Supports Administarative Management
by assisting Staff and Management with various functions including expense budget management, and IT infrastructure improvement as requested; by properly dealing with invoices, letters and applications; by organizing information; and by creating documents as necessary.

by identifying strengths and weaknesses of the Company's processes and recommending changes; and by reporting problems immediately to Management verbally or in writing in order to avoid further problems.
2) Manages Time and Resources
by managing time and other resources (phone, fax, e-mail) in order to maximize productivity; and by covering for other Staff when needed.

Physical Requirements & Working Environment
Physical Requirements
While performing the duties of this job, the Staff Member is regularly required to sit and talk or listen. The Staff Member is further required to stand, walk, use hands to pick up, handle or feel and reach with arms. Occasionally, the Staff Member will need to kneel or crouch.
The Staff Member must be able to read and analyze written information on a computer terminal. Close vision and the ability to adjust focus are necessary for this job.
The Staff Member may occasionally lift, carry, push, pull or move objects of up to 20 pounds.
Working Conditions
The noise level in the work environment is usually moderate to noisy (i.e. office environment).
The Staff Member must be able to travel on business and/or work beyond normal work hours as necessary.

Experience/Minimum Qualifications Needed
Language Skills
Ability to read, analyze, and interpret general business periodicals, professional journals, and/or government regulations in English.
Ability to write reports, business correspondence, and procedure manuals in English.
Ability to effectively present information and respond to questions from groups of Managers, Staff, clients, customers, and the general public in English.
Business-level ability of written and verbal Japanese preferred.
Mathematical Skills
Ability to use standard algebra and calculate figures and amounts such as discounts, interest, and percentages.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions in written, oral, diagram, or schedule form.
Ability to deal with problems involving several concrete variables in situations where only limited standardization exists.
Other Required Skills
Must be tactful, mature, flexible, and punctual. Must be friendly and able to communicate well with others.
Must have the ability to review, assess and understand basic documents with no advance exposure and then engage in discussions internally and with customers.
Must have the ability to analyze and utilize various documents, including invoices, contracts, purchase orders, etc.
Must be able to use a computer and such applications as Microsoft Windows, Word, Excel, and PowerPoint.
